WhatsApp lead capture: collect the details before the chat starts

A WhatsApp enquiry is the warmest lead a website produces. It is also the easiest to lose, because the moment WhatsApp opens the conversation leaves your website and nothing is recorded. "Lead capture" for WhatsApp means one thing: collect the details before the hand-off, and keep them somewhere your team can work from.

The three parts

  1. Ask first. A short chat on your site asks the questions your team would ask anyway: name, number, what they are interested in, when. One question at a time, in your words, with your own options.
  2. Save as you go. Each answer is stored the moment it is given. If the visitor stops after two answers, you still have a lead with a name and a number.
  3. Hand off with everything written. WhatsApp opens with the answers already in the first message, so your team replies instead of asking. The same record sits in your dashboard with a stage and a follow-up date.

What to ask

Keep it under two minutes. For most businesses: first name, last name, phone, email, what they want, when, and one free-text question ("Anything you want to ask before we reply?"). Clinics add previous treatments and an optional photo upload. Everything else can wait for the conversation.

Consent, and what not to put in WhatsApp

Ask for consent inside the chat before anything is stored, and say plainly that the answers will be placed in the WhatsApp message the visitor sends. If your enquiries include health information, the consent must be explicit and the storage must be under a processor agreement with UK data residency. Keep health details out of notification emails; a name, a reference and a link are enough for your team to open the record.

Following up

The capture is only half the job. Give every lead a stage (New, Contacted, Follow-up, Booked), set a follow-up date when the person asks you to call back, and have a reminder fire when a new lead has waited more than a couple of hours. Unfinished conversations that left a number belong in the same list, flagged, not in a separate "maybe" pile.

Beyond the website: a link for Instagram, SMS and email

The same chat does not need a website. A short link that opens the chat full-screen can go in an Instagram bio, a Google Business profile, an SMS reply or an email signature; the lead is captured the same way and lands in the same list. Wapadesk is adding this link to every account; it is on the roadmap for the next release.
