WhatsApp for clinics: from first enquiry to consultation without losing anyone

Patients in the UK increasingly open a conversation on WhatsApp rather than filling in a form. For a clinic that is good news and a problem at the same time: the enquiries are warm, but they arrive in one inbox, with no record, and the PA asks the same five questions to every person by hand. This guide describes a workflow that keeps the WhatsApp conversation and fixes the rest.

1. Ask the pre-consultation questions before WhatsApp opens

A short chat on the website asks what the PA would ask anyway: name, number, email, procedure of interest, previous treatments, timeframe, an optional photo. The patient taps through it in about two minutes. WhatsApp then opens with everything written in the first message, so the PA replies with substance instead of "Hi, which treatment were you interested in?".

2. Consent and UK GDPR

Answers about treatments are health data, a special category under UK GDPR. Three rules keep you on the right side:

Your own privacy notice should describe the chat; Wapadesk provides a paragraph you can adapt.

3. Every enquiry is a lead, including the unfinished ones

Someone who enters their name and number and then closes the chat is still a patient who wanted to talk to you. Save every answer as it is given and show unfinished conversations in the same list, flagged "never sent", so the PA can message them.

4. Stages, follow-ups and reminders

Give each enquiry one stage the PA manages: New, Contacted, Follow-up, Booked, Registered, Treated, Closed. New leads that wait more than two working hours trigger a reminder; after 24 hours an escalation goes to the clinic manager. Follow-up dates pin the lead to the top of the list on the day. A morning summary lists what is due.

5. Booking

Offer a free short consultation that can be booked inside the chat, with the surgeon's working hours and a buffer between slots. Paid consultations can be arranged in the conversation. Either way the appointment belongs to the lead record, and the WhatsApp message carries the date and time.

6. What the PA sees

One screen: every enquiry with a stage chip, the procedure, a follow-up date, tags such as "Instagram campaign", a note of the last call, and a WhatsApp button that opens the chat with the patient already selected. Nothing clinical is recorded; the system stops at the consultation.
